What is e-invoicing?
An e-invoice is a structured digital file exchanged between businesses and processed automatically by financial systems. E-invoices are machine readable documents, exchanged via secure channels, without any need for human interaction. They are generated and processed entirely digitally. E-invoicing is becoming mandatory for B2B in several European countries, so Paylogic adapted for this. We cooperate with a partner who is a certified provider that supports all EU-compliant e-invoice formats.
Receiving E-Invoices
All clients who are registered with Peppol to receive e-invoices, will receive their Paylogic e-invoice on a weekly basis via the Peppol network.
You can continue to view and download your invoices in the back office as usual:
- PDF invoices
- CSV files, including general ledger lines per payout
- Event Invoices Summary, where you can view the PDF invoice and ledger lines entries per event at a glance
These views remain your primary reference for reviewing invoice details.
Differences Between PDF and Peppol E-Invoices
Invoice layout
- PDF invoices show a clear breakdown per event, with all related fees grouped under the event ID.
- Peppol e-invoices follow the same underlying event logic, but the Peppol format does not support visual grouping. As a result, fees relating to the same event may appear as separate lines at the same level in the e-invoice.
This is a limitation of the Peppol format and does not affect the accuracy of the invoice.
Why Totals May Differ Between PDF and Peppol E-Invoices
In some cases, the total amount shown on the Peppol e-invoice may differ from the total shown on the PDF invoice.
This is expected and happens because:
- Previously issued negative invoices (credit notes) are not carried over into new Peppol e-invoices.
- These negative invoices were already issued and sent earlier and are therefore not repeated in the Peppol XML.
- As a result, the Peppol e-invoice reflects only the amounts relevant to that specific invoicing period.
Even if totals differ between documents, the overall invoice history remains correct and complete when all invoices and credit notes are considered together.
