Ledger lines

Ledger lines

What are Ledger Lines?
Ledger Lines is an Excel overview of all revenue and costs that apply per order for your event(s).
It is essentially the data file of the invoices, which allows you to look up and recalculate data in detail and so on. The Ledger Lines are sent with every invoice, but can also be downloaded in the backoffice from the total overview per event (via this link).

Purpose
The Ledger Lines are (mainly) used to get a complete overview of all costs and revenue per invoice / event. This can be to get a clear overview of the additional revenue or as a check for accounting.

Examples
Via the Excel file attached at the bottom of this article, you can view several examples of what the Ledger Lines look like.
  1. On the first tab you will find a legend of all items that you may encounter in the Ledger Lines, which you can use for reference.
  2. On the second tab you will see an example of a fan who buys a ticket with a value of 47.99 EUR plus a 5 EUR fee, on which See Tickets costs are withheld.
  3. On the next tabs you can also see some examples for when fans use a discount code, a refund is processed, or when a fan pays for the order in multiple installments.
Notes
Each tab contains a short description of the items, which you can always look up again in the legend.
How can you easily view the Ledger Lines?
Via this link you can find an overview of all invoices in the backoffice. There you can download the ledger lines either per invoice or at the bottom per event. After opening this file, you can follow these steps to make it easy to read:
  1. Click in the top left, above row A and before column 1.
  2. At the top, go to "Insert" and select "PivotTable".
  3. Click OK
For an overview of one specific event we recommend this selection:
  1. Rows: "Group" and "Description"
  2. Values: "Sub_total"
This gives you a total per group (service fees, ticket revenue, …), as well as a breakdown per type (for example per product).
Idea
Do you have multiple events? Then you can also add the event_id to the Columns or the Filter.
