Ledger Lines

What Are the Ledger Lines?
The Ledger Lines provide an Excel overview of all revenues and costs applicable to each order for your event(s). In essence, this is the data file underlying the invoices, allowing you to look up details, verify calculations, and perform further analysis. The Ledger Lines are sent with every invoice but can also be downloaded in the back office from the total overview per event (via this link).

Purpose
The Ledger Lines are primarily used to obtain a complete overview of all revenues and costs per invoice or event. This can help you gain insight into additional income or serve as a control mechanism for accounting purposes.

Examples
An Excel file is attached at the bottom of this article containing several examples of how the Ledger Lines are structured.
  1. On the first tab, you’ll find a legend explaining all items that may appear in the Ledger Lines — you can use this as a reference.
  2. The second tab shows an example of a fan purchasing a ticket worth €47.99 with a €5 fee, including the associated See Tickets costs.
  3. On the subsequent tabs, you’ll find examples for scenarios such as fans using discount codes, refunds being issued, or split payments across multiple installments.

Notes
Each tab includes a short description of the items used, which you can cross-reference with the legend

How to View the Ledger Lines Easily
You can acces an overview of all invoices in the backoffice via this link. From there, you can download the ledger lines either per invoice or per event. Once you've opened the file, follow the steps to create a clear overview:
  1. Click the box in the top left corner (above row A and before column 1)
  2. At the top menu, go to Insert and select PivotTable.
  3. Click OK.
For an overview of one specific event, we recommend the following setup:
  1. Rows: “Group” and “Description”
  2. Values: “Sub_total”
This will display both the total per group (service fees, ticket revenue, etc.) and a breakdown per type (e.g., by product)

Idea
Do you have multiple events? Then you can also add event_id to the Columns or Filters section to group or filter your data per event.
